Part A: Short Answer Questions.
1. The basic theory of communication is a seven-step process (see Rai & Rai, 2009, pp. 6-17). Why must we follow the basic theory of communication when composing a business email?
2. Email is an immediate channel of communication; however, many people feel the need to reply to emails as quickly as possible because of time pressures during their day. Replying to emails too quickly, however, can cause a number of difficulties, such as replying to the wrong person, or sending a reply email in haste and anger. Outline and explain four (4) actions a person can take to avoid causing themselves problems by replying to an email too quickly.
3. Using email as a form of business communication has advantages and disadvantages. Snyder and Forbus (2014), and Lawson et al. (2019) both state that an email carries the same legal status as a letter, thus emails should be composed thoughtfully. To avoid potential legal consequences, many organisations have policies outlining the acceptable usage of organisational email facilities. Outline and explain at least four (4) unacceptable usages of a company’s email facilities.
4. Al-Maskari (2012, pp. 55-69) and Snyder and Forbus (2014, pp. 13-25) both outline several important points to consider when composing a professional email. Outline five (5) of these points and explain why each point is important.
5. Is email an appropriate channel for all forms of business communication? Outline and explain your reasons as to why you do, or do not consider email to be an appropriate channel for all business communication.
Part B: Rewrite the email and answer the short questions.
1. Beryl’s email is not appropriate for someone requesting a position. Outline and explain at least five (5) aspects of Beryl’s email to Tamara most in need of improvement.
2. Rewrite the email for Beryl in the template provided, using your knowledge of how a professional business email should be composed.
